HOA accounting software

HOA accounting software built for the volunteer treasurer.

GnomeOwner turns your HOA’s bank activity into books the whole board can read. Every bank line arrives with a suggested category for you to confirm, and a watchdog points out charges that look off.

  • Statement upload is free
  • Bank sync on paid plans from $29/mo
  • 45 days of full access, no card

Review

A bank line comes in with a suggested category. You confirm it.

Each line from your bank feed or an uploaded statement lands in Review with a category already picked, first from your past choices, then from simple rules, then by AI for the rest. Skim the group, fix anything that looks off, and confirm it in one click.

  • Dues deposits wait for a unit match, so the right owner gets the credit.
  • Amounts that came from the bank can’t be edited, and History records every change.
  • A vendor you confirm the same way three times becomes a rule you can switch off.

Sample Review screen: four bank lines from late September with suggested categories (Landscaping, Water/Sewer, Utilities, Repairs and Maintenance) ready to confirm as a group, and one hardware-store charge still waiting for a category.

  2. The suggested category
  3. Your confirm
Watchdog

The watchdog names what looks off, and opens the exact row.

GnomeOwner reads your own books for the patterns a busy volunteer misses and says plainly what it saw. When nothing needs attention, it stays quiet. It flags:

  • A vendor charging much more than its usual amount
  • A possible duplicate charge
  • A regular vendor you haven’t paid lately
  • A budget category pacing over, or used up
  • An expense with no category
  • A change to where online dues pay out, which can’t be dismissed

Each night it also takes a second look at categories you’ve already confirmed. It suggests a fix only when one looks wrong, and nothing changes until you accept.

Sample Needs attention card with three flags: Kessler Plumbing charged $1,080.00, about 1.8 times its usual; Landscaping is pacing over budget; and no recent payment to Greenway Trash Service.

Budget vs. actual

See which budget lines are running hot while there’s still time to act.

Adopt a budget by category for your fiscal year. Each line shows what you’ve spent against a steady-pace marker for today, so on track or running hot is a glance, not a spreadsheet.

  • Tap any line to see the charges behind it.
  • Spending outside any budget line is named, never folded in quietly.
  • The same comparison prints in the Financial Report and downloads as a CSV.
gnomeowner.com/finances · BudgetSample data

Sample budget view: Landscaping is running hot at $9,100.00 of a $9,600.00 budget with 78 percent of the year gone, while total spending of $33,000.00 against a $48,000.00 budget is on pace. Insurance and Utilities are on track; Repairs and Maintenance is under pace.

Reports & export

A Financial Report for the board, and CSVs for your CPA.

One report, three framings: a board packet, an annual report for owners, and a tax packet for your accountant. Save it as a PDF, or download QuickBooks, general ledger, budget vs. actual and delinquency CSVs.

  • Revenues and expenses, a balance sheet, aged receivables, reserve activity and budget vs. actual.
  • The tax packet adds the Form 1120-H eligibility tests and an income classification, for your CPA to confirm before filing.
  • A 1099 worksheet for your vendors, with tax ID numbers masked.

All clear

Quiet when the books are tidy.

With no flags and nothing waiting in Review, Finances simply says you’re all caught up.

Getting bank activity in

Two ways in. One set of books.

Upload statements for free, or connect your bank on a paid plan. Either way, every line arrives with a suggested category and lands in the same Review, budget and reports.

Free plan

Upload a statement

Download a statement from your bank as a CSV or PDF, or take a photo of a paper one, and drop it in.

  • When the statement prints opening and closing balances, GnomeOwner checks that the rows add up.
  • Lines you already have are skipped, never doubled.
  • Any import can be undone in one click.

Connect your bank

Read-only bank sync through Plaid brings new activity in each day, with nothing to download.

  • Plaid can read transactions. It can’t move money.
  • Transfers between your own accounts are paired for you to confirm.
  • Statement upload still works alongside it.

Treasurer questions

Straight answers before you start.

Do I still need QuickBooks?

That's up to your board and your CPA. GnomeOwner keeps your HOA's books from its bank activity, with budgets and reports built in. It isn't a full double-entry accounting system.

If your CPA works in QuickBooks, download the QuickBooks CSV from the Financial Report: date, description and amount, in QuickBooks Online's bank-import format. A general ledger CSV and a budget vs. actual CSV are there too.

Do I confirm every bank line myself?

Mostly, you confirm: every bank line arrives with a suggested category. Repeated vendor charges you've confirmed three times start filing themselves; deposits and dues never do; you can turn this off per vendor.

Can I use it without connecting my bank?

Yes. Upload statements instead, as a CSV, a PDF or a photo. That's on the free plan, and every upload (CSV, PDF or a photo) arrives in Review with suggested categories. Budget and reports work the same either way. You can connect a bank later on a paid plan, or during the 45-day trial.

Does it do the HOA's taxes?

No. GnomeOwner doesn't prepare or file tax returns. The Financial Report's tax packet shows the two Form 1120-H eligibility tests (the 60% income test and the 90% expenditure test) and classifies your ledger's income the way the form needs it, for your CPA to confirm before filing.

There's also a 1099 worksheet for your vendors. None of this is tax advice.

Where do residents' dues go?

Dues go straight to your HOA's own bank account. On paid plans, residents pay online through your HOA's own Stripe account, which pays out to your HOA's bank. GnomeOwner never holds the money.

Checks and cash you can record yourself, on any plan. How residents pay dues

Is my bank data safe?

Bank sync runs through Plaid with read-only access to transactions: it can see activity, and it can't move money. Card numbers stay with Stripe.

Each HOA's records are kept separate from every other HOA's, everything is encrypted in transit and at rest, and your data is never sold or used to train AI. How your data is protected
