How is our HOA's data protected?

For board members2-minute read
Short answer

Each HOA's records are kept separate from every other HOA's. We do not sell your information or use your documents to train AI models. Card numbers are handled by Stripe, and bank connections are read-only. Data is encrypted in transit and where it is stored.

Who can see your HOA's information

Your HOA's records are kept in your HOA's own space. Another HOA cannot see them, and your board cannot see theirs.

Residents see only their own unit's information in the owner portal, such as their balance and payment history. One resident's data is never visible to another resident.

What we do with your documents

We do not sell your personal information. Your documents, recordings and financial data are never used to train AI models, ours or our providers'.

When you ask the Board Assistant a question, the text needed to answer it goes to the AI provider for that one request. We use only providers whose terms prohibit training on data sent through their API.

Who handles card and bank details

GnomeOwner does not store full card numbers or bank login details.

  • Stripe handles every card and bank payment. Residents pay on a Stripe checkout page, and the money goes to your HOA's own Stripe account.
  • Plaid is used only if your board connects a bank account for reconciliation. The connection is read-only and cannot move money.

How your data is stored

Communication with GnomeOwner is encrypted, and data is stored in an encrypted database. No system on the internet is perfectly secure, and we do not claim ours is.

The companies that help us run the service

Every outside company that handles data for us is listed, with its purpose, on the sub-processors page. New ones are added to that page, and account holders are told about material changes before they take effect.

What happens if you cancel or delete

Cancelling a subscription does not delete your records. Deleting your HOA's account is a separate, deliberate step. After a deletion request there is a 30-day window in which an administrator can reverse it. After that, the data is permanently deleted.

If something doesn't look right

I think someone has access who shouldn't

Email support@gnomeowner.com with your HOA's name and what you saw. A board administrator can also review who has access on the System Access page.

I need the full legal wording

The privacy policy is the binding text. This page is a plain-language summary of it.
